How to Participate

The Peachtree Corners Photography Club Gallery is open to all registered members. See the Partipate page.

The first step is to register. Upon registration the participant is provided with an individual, secure upload page.

How to prepare and upload your photos

There are some technical requirement and some unusual procedures to submit your entries to our gallery.

Preparing the photos

Edit your photos as you normally do to bring out the best. Then export, save, resize the photos so they are sized 2400 pixels wide. They can be wider, however, the file size must not exceed 6 MB to fit the requirements of our website system.

The photos must be in JPG (or JPEG) format.

Name your photos in this fashion: Lastname-Nnn Where “Lastname” is your last name, “N” is a numeral corresponding to the gallery selection round (more on that below), and “nn” is a sequential two-digit number starting with 01. The filename must not include any spaces, just letters, digits, and one hyphen The resulting file names then look like this:
Name-202.jpg Name-203.jpg etc.

Use your photo editor or another appropriate app to add a Title and/or a Caption. The title-caption must have the following format:
Your Name – Title of Your Photo (place a space before and after the hyphen). If your editor allows both Title and Caption, enter the same text in both fields.

If your editor does not provide this option, or you have trouble doing so, you may add the title-caption in your upload folder (more on this below).


  • Image size – 2400 pixels wide
  • File size – not more than 6 MB
  • File format – JPG
  • File name – in this pattern: Lastname-101.jpg
  • Embedded title or caption – Your Name – Title of Your Photo

Gallery selection rounds

Entries may be submitted throughout most of the exhibition period. Submitted entries are provided to the selection team every two weeks during our exhibition. The cutoff dates are as follows:

  • Round 1 – September 12, 2020
  • Round 2 – September 26, 2020
  • Round 3 – October 10, 2020
  • Round 4 – October 24, 2020
  • Round 5 – November 7, 2020– filename format Name-501.jpg
  • Round 6 – November 21, 2020
  • Round 7 – December 5, 2020

No entries will be accepted after December 5, 2020.

Submitting your entries

Upon registering for the exhibition you received an email with a link to a secure, private, online OneDrive folder. Do not share that email or that link with anyone else! Open the folder by clicking the link in that email. You can then drag your photos from your computer folder to the OneDrive open in your browser. The process is straight-forward and might look like this:

It may take a few minutes for your photos to appear in your folder. Refresh your browser to see the thumbnails.

Once your photos are showing as thumbnails in your folder you can inspect each photo by just a single click on the thumbnail.

If your photo shows “Add a caption” at the bottom (run your pointer there), then the photo file is not titled or captioned in the appropriate format. You may do so in the OneDrive folder. Either click the “Add a caption” text or the circled-i in the upper right, to open the information side-panel.

You may then type in the caption.

I should have the form Your Name – Title of Your Photo

End the new caption text by pressing the Enter key. Make sure that now the caption is showing underneath the photo (move the pointer there).

That’s all.

The next step is for the members of the gallery production team (you may see their mugshots where it says “Has access”) to make sure that your photos are properly named and captioned. If there is an error, the team member will make the corrections for you. We want to put your best foot forward!

The photos will then be removed from your folder and made available to the selection team.

Selected photos will be shown on your own gallery portfolio page. The caption will be underneath each photo for all the world to see. You may supply additional text describing or explaining your photo by using the Entry Information form. Such supplementary text may be up to about 80 words. You may even use this to add or change the title-caption. We really do want to show your work in the best possible way!
